Do you need a better form—or a better handoff?

Eight public trade-business journeys show that web enquiry is already common. The useful question is what happens between the first message and a callback-ready, system-ready job record.

The form is rarely the whole problem.

This purposive public-web sample covered plumbing, electrical, commercial HVAC, pest control, landscaping and commercial cleaning. It is not a representative market survey. It is enough to reject one weak assumption: adding another generic contact form is not, by itself, a compelling product.

Urgency changes the safe response path. Several operators explicitly direct urgent customers to call rather than wait for a form reply.

Maintenance appeared as general service, testing, preventative work, inspection, staged delivery or ongoing contract work.

One operator used a six-step conditional flow; another accepted photos, video and PDFs. Basic structured intake is already achievable without Sparrofox.

A pest operator linked a ServiceM8 client portal. Public pages cannot tell us where the other seven submissions land or how much is re-keyed.

Start with a deterministic intake schema and clear urgent-call route. AI is premature if identity, location and intent are still unreliable.

4–7 · Repair the handoff

Keep the existing form, then add missing-information prompts, evidence handling, source-linked summarisation and a measured callback-ready definition.

8–10 · Work the exceptions

Do not replace mature intake. Test integration, re-keying, stale exceptions, report completeness and owner visibility around the current system.
